The operating system for kosher agencies

Certificates, supervision, billing and staff payouts in one system — so every invoice traces back to the work behind it, and anyone can check a certificate from their phone.

For agencies that supervise

  • Food service
  • Shechita
  • Production

Most agencies still run on a patchwork.

  • Spreadsheets everywhere

Schedules, rates and contacts spread across files that one person understands.

  • Certificates nobody can verify

A paper certificate on the wall can't tell a customer whether it is still current.

  • Invoices chasing old work

Billing pieced together weeks later from reports, messages and memory.

  • Payroll rebuilt by hand

Every pay period, someone re-adds the days the office already scheduled.

KashrusBase replaces the patchwork with one record that follows the work.

The platform

Everything an agency runs on, in one place

Every module works on the same records, so an establishment, a mashgiach or an activity is entered once and shows up everywhere it belongs.

  • Establishments & certificates

Every establishment and its facilities in one record, with certificates issued from it.

    • Food service, meat and factory certificates
    • A serial number and QR code on each one
    • Emailed to the establishment from the system
  • Supervision & scheduling

Weekly schedules for mashgichim and shochtim across food service, shechita and production.

    • Reports filed per activity, photos included
    • A mobile interface for team leaders in the field
    • Shechita supervisors' reports, approved by the office
  • Billing & collections

Invoices built from the work itself — days, hours or weeks, times the rate.

    • ACH and card collection
    • Bank feeds with reconciliation
    • AI reads scanned checks
    • Receipts and QuickBooks sync
  • Staff payouts & payroll

Pay mashgichim and shochtim from the same activity the office billed.

    • Payout runs
    • Salaries with W-2 and ACH splits
    • Running worker accounts
    • Reimbursements
  • Business portal

Establishments get their own login to the agency.

    • View their invoices
    • Manage their own facilities
    • Order supplies such as kosher seals
    • Orders become draft invoices after office approval
  • Staff onboarding

New staff complete their paperwork online, filled in and signed.

    • W-4 or W-9
    • Bank authorization
    • ID documents
    • Delivered to a private office inbox
  • Product catalog

Certified products and kitchen products, kept in one catalog.

    • AI reads the label and fills in the details
    • Certified and kitchen products side by side
  • Board reporting

A live report for the agency's board, the vaad.

    • Notes on the report
    • A PDF for the meeting
  • Two-way email

Send and receive email inside the system.

    • From the agency's own addresses
    • Replies come back into the system

How it works

One record, start to finish

The activity the office schedules is the same one the mashgiach reports on, the office bills and the payout pays. Nothing is retyped, and every invoice line traces back to the work behind it.

  1. Step 1

    Schedule

The office assigns a mashgiach to an establishment for a shift.

    ACT-1042Scheduled

    Sample Bakery

    Sun, Oct 18 · 7:00–3:00 · Mashgiach A

  2. Step 2

    Report

The mashgiach files the report for that same activity — hours, notes and photos.

    ACT-1042Reported

    8 hours · 2 photos

    Filed by Mashgiach A

  3. Step 3

    Invoice line

The office bills it at the establishment's rate, and the line keeps its link to the report.

    ACT-1042Billed

    8 hrs × $40.00 = $320.00

    Invoice to Sample Bakery

  4. Step 4

    Payout

The same hours go into the mashgiach's next payout run.

    ACT-1042Payout

8 hrs in the payout run

    Mashgiach A · Oct 31

The same activity number runs through all four steps — every invoice line keeps its trail: who worked, when, and the report they filed.

Public verification

A certificate anyone can check

Every certificate carries a serial number and a QR code. Whoever scans it — a customer, a caterer, a shopper at the counter — lands on a public page that shows whether the certificate is current.

  • A serial number and QR code on every certificate
  • A public page — no login, no app, any phone camera
  • Category-aware: food service, meat and factory
  • Emailed to the establishment straight from the system

Security & separation

Built for many agencies. Each one fully separate.

KashrusBase runs many agencies on one platform, and none of them can see another's records. The separation is enforced by the database, not left to the screens.

  • Separated in the database

Every agency's records are isolated with row-level security. A request for another agency's rows is refused by the database itself — not just hidden by the screen.

  • Your domain, your name

Each agency runs on its own domain, with its own name and branding.

  • Access by area

Admins are granted access one area at a time — billing, staff, operations and more — each person individually.

  • A sandbox for training

A sandbox agency for training never sends an email, a charge or a bank request to the outside world.

Where it comes from

Built inside a working kashrus agency

KashrusBase wasn't designed from the outside looking in. It was built inside a working kashrus agency to run that agency's own certificates, schedules, billing and payroll — and it is used there every day.

Every module exists because a real agency's week needed it. Now the same platform is ready for other agencies, each on its own domain, under its own name.
